Content Archival Policy

Objective

The Content Archival Policy (CAP) of the Institute of Advanced Study in Science and Technology (IASST) ensures that digital content published on the official website is systematically reviewed, archived, and maintained to preserve institutional knowledge, enhance user experience, and uphold data integrity.

Scope

This policy applies to all content hosted on the IASST website, including academic publications, announcements, event details, circulars, tenders, and multimedia resources.

Archival Criteria

Content may be archived based on the following conditions:

  • Time Sensitivity: Information related to past events, expired tenders, or outdated announcements.
  • Relevance: Content no longer aligned with current institutional priorities or user needs.
  • Redundancy: Duplicate or superseded materials.
  • Compliance: Legal or regulatory requirements for data retention and archival.

Archival Process

  • Review Cycle: Website content is reviewed quarterly by the Web Information Manager and designated departmental representatives.
  • Tagging and Classification: Archived content is tagged with metadata including date of publication, category, and archival reason.
  • Storage Format: Archived materials are stored in secure digital repositories in standardized formats (e.g., PDF, HTML).
  • Access Control: Archived content is accessible to internal stakeholders and may be made available to the public upon request, subject to approval.

Restoration and Deletion

  • Restoration: Archived content may be reinstated upon request from authorized personnel, subject to relevance and approval.
  • Deletion: Permanent deletion is carried out only after the retention period expires and with clearance from the Registrar.

Roles and Responsibilities

  • Web Information Manager: Oversees the archival process and ensures compliance.
  • Departmental Contributors: Notify the web team of outdated or superseded content.
  • IT Team: Maintains secure storage and backup of archived materials.

Policy Review

This policy is reviewed annually to incorporate technological advancements, regulatory updates, and institutional needs.
